What is hybrid mail?

Hybrid mail is a method of sending and delivering physical mail using digital technology. A hybrid mail platform takes the manual work out of producing and delivering time-critical communications.

What is Webpost hybrid mail?

Webpost is a secure hybrid mail portal to allow users to remotely send physical communications and accompanying enclosures without having to produce them manually.

How does automated mail work?

Transfer customer data via secure methods, prepare your letters digitally and send them to our secure fulfilment centre. We will print and insert documents, ready for Royal Mail to collect and deliver to the client, customer or patient.

How do I access Webpost?

You can access the Webpost portal from any computer with the software installed on it. Users have to pass security measures to gain access, but once logged in, can use the platform from any location.

How secure is Webpost?

Webpost uses NHS Information Governance, also Public Sector and business with GDPR compliance, which ensures data confidentiality.

Does Webpost comply with GDPR?

Webpost adheres to all applicable data processing laws according to GDPR legislation.

Who delivers my post?

All mail items are handed over to the Royal Mail for final delivery.

How much does hybrid mail cost?

Hybrid mail is cheaper than traditional post. Webpost can aggregate mail volumes of other clients to achieve postage discounts, including stationery and labour costs and pass these savings back to the customer. Therefore, hybrid mail costs are lower than using stamps or the cost of renting or leasing or purchasing a franking machine.

How do I pay for Webpost?

Just like topping up your franking machine, you will add credit to your Webpost account, typically by Direct Debit, when your account reaches a pre-set threshold. Alternatively, you can pay in advance using PayPal or a credit card via RBS Worldpay. Just sign into your account to top up your balance.

What quality of paper does Webpost use?

Webpost uses 90gsm paper and C5 window envelopes. All paper is sourced sustainably and is 100% recyclable.

Can I add an insert with my letter?

Yes, additional inserts can be added as long as they are PDF files.

Can I send multiple pages?

Yes, we will recognise multiple pages and put them in the same envelope, up to a maximum of 5 pages.

Can I sign my letters?

Yes, a scanned image of your signature can be added to your letter.

Do you store my letterheads?

No, we produce a copy of your letterhead (in colour if necessary) using our high-quality production printers.

Is Webpost sustainable?

By printing close to the Royal Mail Inward Mail Centre we save the need for collection of your mail and transportation through the Royal Mail trunk network for sorting and delivery. Studies show that your carbon footprint will reduce by up to 80%.

How do I know if my mail has been posted?

The dispatch manager will give confirmation, and you will receive email confirmation as well. You can also track important mail to check on its delivery status.

What happens to undeliverable items?

Undeliverable items will be returned to our return address.

Can I check the letters before they are sent?

Yes, the dispatch manager interface will allow you to view all items before finally sending them, if you wish.
